We believe your data belongs to you. Here's exactly what we collect and why.
1. Information We Collect
Free tool users: We collect nothing. All calculations run client-side in your browser. No analytics, no IP logging, no cookies beyond your theme preference.
Registered accounts: We collect your email address, display name, and (optionally) your business name and province/state for tax calculations. We collect usage analytics via Google Analytics (page views, session duration — no personal identifiers).
Payment data: All payment information is handled directly by Stripe. We never see or store your full credit card number. We receive a payment token and billing status from Stripe.
Family plan — children's data: When a parent or guardian creates child accounts under the Family plan, the following data is collected for each child and stored under the parent's account in Firestore (children/{kidId}): the child's display name and Kid Code (picture passcode, stored as a hash), learning progress (XP points, subject mastery scores, activity completion history), session data (session duration, last active date), streak counts, and screen-time records. This data is created and controlled by the parent account holder. It is used exclusively to display progress reports and parental controls within the parent's dashboard. It is not used for advertising, it is not sold or shared with third parties, and it is deleted when the parent removes the child account or closes their account entirely. The parent's act of creating the child account on the child's behalf constitutes verifiable parental consent as required by COPPA and applicable Canadian privacy law.
2. How We Use Your Data
Account data is used to: authenticate you, sync your content across devices, calculate tax deductions relevant to your province, send transactional emails (receipts, plan changes), and provide support. For Family plan accounts, children's learning and progress data is used solely to display progress reports to the parent or guardian. We do not sell, rent, or trade your data to any third party.
3. Data Storage
Free tool data stays in your browser's localStorage and is never transmitted. Account data is stored in Google Firestore, hosted in North American regions. Firestore data is encrypted at rest and in transit.
4. Third-Party Services
- Google Analytics — anonymised page view and session data. You can opt out via browser extensions.
- Stripe — payment processing. Governed by Stripe's own privacy policy.
- Firebase / Firestore — authentication and data storage. Governed by Google's privacy policy.
We do not sell or trade your personal data to data brokers. We do work with advertising partners (see Advertising below) who may use cookies on tool pages to serve relevant ads.
5. Advertising
We use Google AdSense to display ads on some pages across the site. These ads help keep our free tools free.
- Google uses cookies to serve ads based on your prior visits to ToolFluency and other websites. Third-party vendors may also use cookies for ad serving and measurement.
- You can opt out of personalized advertising by visiting Google's Ad Settings.
- Google's use of advertising cookies is governed by Google's advertising policies.
- Kids Zone (
/kids.htmland the kid sign-in shell at/kid): No advertising, no third-party tracking scripts, and no AdSense. This is the interactive learning environment children actually use. Family-plan child accounts are governed here. This surface is fully ad-free and tracking-free in compliance with COPPA. - Printable worksheet pages (
/tools-v2/printables/): These pages are educational resources for parents, teachers, and homeschoolers — adults searching the web for materials to print and use offline with children. Standard Google AdSense ads appear on these pages. Children do not interact with these pages directly; the pages exist so adults can browse, customise, and print worksheets to hand to students.
6. PIPEDA Compliance
As a Canadian business, ToolFluency complies with the Personal Information Protection and Electronic Documents Act (PIPEDA). You have the right to access, correct, and request deletion of your personal information at any time.
7. GDPR Rights (EU/UK Users)
If you are located in the EU or UK, you have the right to: access your data, correct inaccuracies, request erasure ("right to be forgotten"), data portability, and object to processing. To exercise these rights, email hello@toolfluency.com.
8. Children's Privacy (COPPA)
Anonymous / unauthenticated use: The Kids Zone tools are freely accessible without an account. In this mode, no personal information is collected from children, no sign-in is required, no behaviour is tracked, and no advertising is displayed.
Family plan child accounts: The Family plan allows parents or guardians to create child accounts within their own account. The parent creates the account on the child's behalf; this act constitutes verifiable parental consent as required by the Children's Online Privacy Protection Act (COPPA) and applicable Canadian privacy law (PIPEDA). Once a child account exists, the child may sign in using their Kid Code (a picture passcode). The following data is collected and stored under the parent's account: the child's display name and Kid Code hash, learning progress (XP, subject mastery, activity history), session duration, streak counts, and daily screen time. This data is used only to display progress reports and parental controls to the parent. It is never sold, never used for advertising, and never shared with third parties. No advertising is displayed in the Kids Zone for any user. Parents may delete a child's account and all associated data at any time from their account settings. If you believe a child's data has been collected in error or without parental consent, contact us at hello@toolfluency.com for immediate deletion.
9. Cookies
We use essential cookies for authentication (Firebase auth token) and your theme preference (tf_theme_mode). We also use advertising cookies from Google AdSense on tool pages to serve and measure ads. These advertising cookies are not used on Kids tools. You can manage your cookie preferences through your browser settings or by visiting Google's Ad Settings. See our full Cookie Policy for details.
10. Data Retention
Active account data is retained for the life of your account. After account deletion, personal data is purged within 30 days. Anonymised analytics data may be retained indefinitely.
11. Data Export & Deletion
You can export all your data as a ZIP file from Account Settings → Privacy → Export Data. To permanently delete your account and all associated data, go to Account Settings → Privacy → Delete Account, or email us.
12. Security
All data is transmitted over HTTPS/TLS. Firestore data is encrypted at rest. Firebase Authentication handles credential management with industry-standard security. We do not store passwords.
13. Changes to This Policy
We will notify registered users of material changes to this policy by email. The "last updated" date above will always reflect the most recent revision.
