Jobs & Projects

Every job, from quote
to paid.

Clock in a timesheet, tag it to the job. Buy materials, tag the expense. At billing time, the total is already there — time plus materials, ready to invoice. One click bills every open job for a customer at once. This is how a trades shop actually runs its work.

1
Create the job
Name the job, attach the customer, set the agreement type — fixed price, time & materials, retainer, or milestone. Group it into a project if it's part of something bigger. Set a start date and site address. Done in under a minute.
2
Log time & materials
Timesheets clock hours against the job. Expenses — lumber, parts, subcontractors — get tagged to the job and marked billable with your markup. Both feed a running billable total, updating live as your crew logs time or materials come in.
3
Bill it
When it's time to invoice, the job's billable total is already calculated. Bill a single job from the job card, or open the customer and bill every open job at once in one tap. It becomes an invoice — the kind you can actually send. See invoicing →

Know exactly what's still on the table — before you open the invoice.

Jobs roll up into a project. Every hour your crew logs and every receipt they attach feeds the billable total for the right job, live — no manual tally. You see billable revenue, what's already been invoiced, and what's still outstanding to invoice. Then bill the gap in one click and it becomes an invoice — pre-filled, ready to send.

Every part of the job, tracked

From the first hour logged to the final payment — these are the features that keep your work organized and your billing honest.

Bill all of a customer's work in one click
Open the customer card and it shows exactly how much is ready to invoice — the unbilled total across every open job, already totalled. One tap opens a billing flow that rolls all of it into a single invoice. No hunting job to job, no manual addition. This is the one that saves the most time at month-end.
Job statuses and agreement types
Jobs move through Active, Scheduled, Completed, and Cancelled. Agreement types — Fixed Price, Time & Materials, Retainer, Milestone-Based, Cost-Plus, Pro Bono — control how billing rolls up. A T&M job bills by hours and materials; a fixed-price job bills by percentage of the contract value.
Billable total built from hours + materials
For T&M and Cost-Plus jobs, the billable total is live — hours times the charge-out rate, plus marked-up billable expenses. For fixed-price jobs it's the contract value times the progress percentage. Either way, the number is computed from what was actually logged — not from a separate field you have to remember to update.
Per-job charge-out rate with employee overrides
Set a default charge-out rate on each employee. On any job, you can override it per employee — a senior tech bills $95/hr on this job even if their default is $75. The right rate is snapped at the time hours are logged, so changing a rate later never touches historical timesheets.
Progress percentage per job
Set a progress percentage on each job (0–100). For fixed-price and milestone jobs, progress directly drives how much is billable — 45% complete means 45% of the contract value is ready to invoice. A progress bar is visible in the list so you can see at a glance where every job stands.
Site address, priority, and scope of work
Each job stores the job-site address (street, city, province, postal), a priority level (Normal, High, Urgent), and a scope-of-work field for deliverables, terms, or notes. Enough structure to run a real job — not so much that creating one takes ten minutes.

Job tracking questions answered

How do timesheets connect to jobs?
When an employee logs a timesheet, they tag the hours to a job. The app looks up the charge-out rate for that employee on that job (their default rate, or a per-job override if you've set one), multiplies it by the hours, and adds it to the job's running billable total. The rate is snapped at log time — changing an employee's rate later won't rewrite old timesheets. This means the number you see on the job card is always based on what was actually logged, not an estimate you have to remember to update.
How do billable expenses work?
When you log an expense, you can tag it to a job and mark it billable. You can also set a markup — either a flat dollar amount or a percentage. The billable amount (cost + markup) rolls into the job's billable total alongside the labour. When you bill the job, those expenses become line items on the invoice automatically. Materials at cost plus markup — that's the standard trades model, and it works that way here.
What does "bill all of a customer's work in one click" actually mean?
On the customer card (in the People section), the app shows the total unbilled amount across every open job that customer has — the sum of all unbilled labour and materials. One tap opens a billing flow that rolls all of it into a single invoice, pre-filled with line items from each job. You don't have to go job-by-job. If the customer has four active jobs and you've been logging time and materials all month, that one click gets you to the invoice screen with everything already populated.
What agreement types are supported?
Fixed Price, Time & Materials, Retainer, Milestone-Based, Cost-Plus, and Pro Bono. The agreement type controls how the billable total is calculated: T&M and Cost-Plus are live (hours × rate + materials); Fixed Price and Milestone-Based bill as a percentage of the contract value times your progress; Retainer bills a flat recurring amount; Pro Bono is tracked but not billed. You can mix agreement types within a project — a project can have a T&M phase and a fixed-price phase at the same time.
What's the difference between a Job and a Project?
A job is a discrete unit of work — one customer, one scope, one billing line. A project is a container that groups multiple jobs under a shared budget and customer. Use projects when a piece of work has multiple phases or trades, and you want to track total committed vs planned budget in one place. You can run jobs without projects (most smaller shops do) and add projects later when the work gets complex enough to need them. Jobs always exist on their own; projects are optional grouping on top.
Can I track profit per job?
Yes, on the project level. The project workspace shows total spent (labour cost at employee pay rate, not charge-out rate) plus materials, versus what's been invoiced — giving you a real profit figure per project. Individual job cards show the billable total and what's already been billed on invoices. True per-job profit requires knowing your internal labour cost vs what you billed the client, and the project view gives you exactly that breakdown.
Do I need to use Jobs to use invoicing?
No. Jobs and invoicing are independent — you can send invoices without ever creating a job. Jobs become valuable once you're tracking time and materials and want the billing to follow automatically from what was logged, rather than typing it into the invoice manually each time. If you're doing project-based work where you want to know what you billed vs what you spent, that's when jobs earn their keep. Start with invoicing and add jobs when the work gets complex enough to need them. Jobs & Projects are a Business Pro feature.
