The procedure, step by step
- Capture the concern in the customer’s words — Write down exactly what the customer reports ("shudders at 60 mph") plus when it happens, not your guess at the cause.
- Record full vehicle & contact details — Get year/make/model, mileage, VIN if possible, and a phone/email you can actually reach for approvals.
- Match the job to skill & bay — Route alignments to the rack, transmission and EV-certified work to the right tech, and don’t book a slot that needs a bay you won’t have free.
- Block realistic time, not optimistic time — Assign a duration the shop-management system or your service guide supports, and leave buffer for added work found on inspection.
- Choose the drop-off type & arrange logistics — Confirm waiter, drop-off, after-hours, loaner, or shuttle, and reserve the loaner or ride in the log up front.
- Set diagnostic-fee & estimate expectations — Tell the customer there may be a diagnostic charge and that no repair starts until they approve a written estimate.
- Confirm the appointment in writing — Send a confirmation with date, time, address, concern summary, and what to bring (keys, registration, warranty info).
- Send a reminder before the slot — Text or email a reminder 24–48 hours out to cut no-shows and re-confirm the concern.
