The procedure, step by step
- Build from the authorization — Generate the invoice from the signed estimate plus any approved change orders — no surprises.
- Itemize everything — List parts (with numbers), labor, fluids, fees, and tax as separate line items.
- Verify against the overage rule — Confirm the total doesn’t exceed the authorized amount beyond the allowed threshold; if it does, it should already be re-authorized.
- Apply deposits/credits — Subtract any deposit paid at booking and any core credits.
- Review with the customer — Walk the customer through the invoice line items before requesting payment.
- Collect securely — Take payment via the accepted methods (tap/card/digital); never store raw card data.
- Issue the receipt and warranty — Send the e-receipt and the written warranty terms immediately.
- Reconcile and log — Mark the job paid, reconcile the payment, and close the job record.
