Pickup & Sign-Out: the full procedure
Release children only to authorized adults, verify ID for anyone unknown, sign out with the time, and follow set procedures for late or unauthorized pickups.
- Applies to: All classroom and release staff.
- Frequency: Every departure.
- Scope: Covers the operational release and sign-out process. Authorized-pickup eligibility and any custody/legal questions defer to the enrollment record, the parent/guardian, and your state child-care licensing.
What you need
- Authorized-pickup list
- Sign-out sheet or check-in app
- Photo-ID verification step
- Late-pickup log
- Emergency contact list
The procedure, step by step
- Verify authorization — Release a child only to a parent/guardian or an adult on the child’s authorized-pickup list.
- Check ID for unknowns — If the adult is unfamiliar to staff, require a valid photo ID, check it against the authorized list, and confirm with a second staff member.
- Withhold if unauthorized — If the person is not authorized, do not release the child — contact the parent/guardian for permission before any release.
- Sign out with time — Record the departure time and the name of the adult picking up.
- Confirm handoff — Pass along the day’s notes, belongings, and any items (meds, art, soiled clothes) at handoff.
- Update headcount — Adjust the room headcount and roster immediately after release.
- Handle late pickup — Follow the written late-pickup procedure — two staff remain with the child, attempt parent then emergency contacts, log the time, and apply any late policy.
- Escalate if unreachable — If no authorized adult can be reached after the defined window, follow your center and licensing escalation/safe-child protocol.

Frequently asked questions
Can we release a child to a relative who is not on the list?
No — release only to adults on the authorized-pickup list. If an unlisted person arrives, contact the parent/guardian for permission and verify photo ID before any release. Custody questions defer to the enrollment record and licensing.
What do we do at late pickup?
Follow your written late-pickup procedure — keep two staff with the child, call the parent then emergency contacts, log the time, apply your late-fee policy, and escalate per your licensing protocol if no authorized adult is reachable.
