Staff Onboarding: the full procedure
Bring every new hire through verified clearances, required certifications, and orientation to your policies, using the manual’s other SOPs as the training curriculum before they count in ratio or work solo.
- Applies to: Director / experienced lead teacher (the trainer onboarding the new hire).
- Frequency: Each new hire.
- Scope: Covers clearance verification, certifications, policy orientation, and SOP training with sign-off. The other SOPs in this manual are the training curriculum — the trainer hands them over, teaches each, and signs off when the new hire can do it your way. Required background checks, clearances, and certification specifics defer to the state child-care licensing agency and the issuing body.
What you need
- Onboarding checklist
- Personnel file
- Background-check / clearance records
- CPR / first-aid certificate copies
- The SOP manual with sign-off sheet
The procedure, step by step
- Verify clearances before the floor — Confirm all required background checks and clearances are initiated or complete per your state before the new hire has unsupervised access to children.
- Confirm required certifications — Verify current CPR and first-aid certification (and any state-required credentials), and file copies in the personnel record.
- Open the personnel file — On day one, create the file with every required document — clearances, certifications, health forms, and signed policy acknowledgments.
- Orient to ratios and safety policies — Walk through staff-to-child ratios, active supervision, emergency plans, and mandated child-abuse reporting before any solo responsibility.
- Teach the SOPs as curriculum — The trainer hands over each SOP in this manual, demonstrates it, then watches the new hire do it — this is how they learn to do it your way.
- Observe and coach — Have the new hire shadow an experienced lead, then work under supervision while the trainer corrects technique against the SOPs.
- Sign off before counting in ratio — Only after the trainer confirms competence on each SOP does the new hire count toward ratio or work solo; record the sign-off with date and signature.
- Schedule continuing education — Set the new hire up for required orientation training within the state grace window and ongoing annual training hours.

It documents the work sequence for a Daycare Center business — not safety or regulatory rulings, which defer to the cited authorities, the applicable code, and your own health-and-safety plan. Frequently asked questions
When can a new hire count toward the required staff-to-child ratio?
Only after clearances are verified, required certifications are current, and the trainer has signed off that the new hire can perform each SOP — never before. Defer to your state for specifics.
How is the manual used in training?
The other SOPs in this manual are the curriculum. The trainer hands each one over, teaches and demonstrates it, watches the new hire do it, and signs off when they can do it your way.
