The procedure, step by step
- Set capacity & schedule — Define per-class capacity based on space and instructor ratios, and publish the schedule in the booking app.
- Enable booking & waitlist — Let members self-book, and turn on an automated waitlist that auto-promotes when a spot opens — better than overbooking.
- Publish the policy clearly — State the cancellation window, late-cancel/no-show fees, and consequences right on the booking page, not buried in a separate link.
- Send reminders — Send automated reminders and waitlist notifications via the member’s preferred channel (SMS/push/email) to cut no-shows.
- Enforce late-cancel / no-show — Apply the published fee or credit deduction consistently when a member cancels inside the window or doesn’t show.
