Booking & No-Show: the full procedure
Book by breed/service length, require vaccination proof, take deposits, remind, and enforce a no-show policy.
- Applies to: Front desk / owner.
- Frequency: Every booking.
- Scope: Covers grooming booking and no-shows. Vaccination/legal specifics per your local rules.
What you need
- Booking system
- Vaccination records
- Cancellation policy
The procedure, step by step
- Book the right time — Book the appropriate duration for the breed and service (a doodle full-groom ≠ a nail trim) so the schedule is realistic.
- Require vaccination proof — Require current core vaccinations (e.g. rabies) at or before the first appointment — for the safety of all dogs and staff; block booking on expired records where your system supports it.
- Take a deposit + policy — Have the client accept your cancellation/no-show policy at booking, and take a deposit for long/new-client appointments (forfeited on no-show, applied otherwise).
- Confirm and remind — Send a confirmation and reminders (1–2 days out) to cut no-shows.
- Enforce and rebook — Apply the late-cancel/no-show fee consistently (with reasonable exceptions) and follow up to rebook.
Quality check before you finish
- Booked to breed/service length.
- Current vaccination proof on file before service.
- Policy accepted + deposit taken where appropriate.
- Confirmation + reminders sent.
- No-show/late-cancel policy applied; rebook attempted.
This is a free, source-anchored standard operating procedure (SOP) you can print and hand to staff. It documents the work sequence for a Dog Grooming business — not safety or regulatory rulings, which defer to the cited authorities, the applicable code, and your own health-and-safety plan. Open the tool above to print it, toggle ink-saver, or (with a free ToolFluency Business account) edit it to match your own workflow.

Frequently asked questions
How should a grooming salon handle bookings?
Book the right time for the breed and service (a doodle full-groom is not a nail trim), require proof of current vaccinations at or before booking, take deposits for long/new-client appointments where appropriate, confirm and remind, and enforce a clear cancellation/no-show policy the client accepts at booking.
Should groomers require proof of vaccination?
Most salons require current core vaccinations (e.g. rabies) for the safety of all dogs and staff, collected at or before the first appointment. Set your own policy per local rules; the SOP makes capturing it part of booking.
