What is an HVAC operating manual?
An HVAC operating manual is a set of Standard Operating Procedures (SOPs) — written, repeatable instructions that capture how your shop does the work the owner’s way, every time, regardless of which tech rolls up. This manual is organized into three pillars. The Service Call covers the demand-service loop: dispatch, arrival, diagnosis, customer-approved quoting, the repair itself, verification, and a clean handoff. Install & Maintenance covers planned work: the new-system installation sequence, the seasonal tune-up, and the equipment changeout. Business covers the office engine that feeds and finances the field: booking, estimating, maintenance memberships, invoicing and payment, callbacks and warranty, customer communication, and onboarding new techs.
These SOPs describe workflow and business process — the order of operations, who does what, what gets documented, and what "done right" looks like. They are deliberately not a substitute for technical training, manufacturer instructions, or law.
