- Scope: Covers the in-person assessment of a residential or light-commercial space to define surfaces, prep level, and color direction. Does not cover lead testing or RRP obligations on pre-1978 surfaces β defer to the EPA RRP rule and your safety plan when a home predates 1978.

The procedure, step by step
- Confirm appointment and arrive prepared — Reconfirm the appointment the day before. Arrive on time with the fan deck, scope checklist, and a tablet or clipboard. First impression sets the tone for the bid.
- Walk every surface to be painted — Walk the customer through each room or elevation. Note every surface β walls, ceilings, trim, doors, siding, fascia β and what is in versus out of scope. Write it down as you go.
- Measure and record — Measure room dimensions or exterior elevations and record square footage by surface type. Photograph each area for the file so you can build the quote off accurate numbers, not memory.
- Assess the prep level required — Inspect for peeling, cracking, mildew, water stains, and bare substrate. Match the condition to a Surface Preparation Level (PCA P14) and note repairs needed. Check the build year β if pre-1978, flag for the lead-safe deferral.
- Lead the color consultation — Ask about the look the customer wants and present fan deck options for color and sheen. Recommend appropriate finishes by surface and room β and note any colors the customer commits to or wants to sample.
- Set expectations on timeline and access — Discuss start window, expected duration, daily access, furniture moving, and who clears rooms. Surface anything unusual now, not on day one of the job.
- Capture special conditions — Note anything that affects price or risk β high ceilings, difficult access, lead-age substrate, heavy repairs, or HOA color rules. These feed both the estimate and the safety plan.
- Confirm next step and timeline — Tell the customer when the written estimate will arrive (target 24-48 hours) and how it will be delivered. Thank them and leave a card or one-pager.
