The procedure, step by step
- Capture every lead — Log every call, form, and message with name, contact info, address, and source so no lead is lost.
- Identify the service needed — Ask what surfaces they want cleaned and the property type (residential or light commercial) to scope the visit.
- Qualify the job — Confirm the address is in the service area and the job fits your equipment and scope; flag anything that needs special access.
- Respond fast — Reply within the company's target response time; speed-to-lead is a major factor in winning the job.
- Book the estimate or job — Schedule an on-site or remote estimate, or book directly for standard small jobs, and put it on the shared calendar.
- Confirm details with the customer — Send a confirmation with date, window, and what to expect, and gather any access notes (gate codes, pets).
- Set a reminder — Create a reminder for the appointment and a follow-up task for unconfirmed leads.
- Hand off to the field — Pass the qualified job and notes to the estimator/technician so they arrive prepared.
