Barber Onboarding: the full procedure

Verify the new hire’s license, set up their station, walk them through shop policies, have them shadow, then sign them off on each task SOP before they work solo.

What you need

The procedure, step by step

  1. Verify the license — Confirm the barber’s license is active and valid through the state barbering board before they touch a client — requirements defer to the board.
  2. Complete new-hire paperwork — Collect tax forms, set the pay model (commission or chair rental), and file emergency and contact info.
  3. Set up the station — Walk the station/booth checklist — chair, tools, sanitation supplies, POS access, and booking-app login.
  4. Walk the policies — Cover the booking/no-show, check-in/pricing, complaint/redo, and payment/closeout SOPs as the core policy set.
  5. Hand over the curriculum — Give the new hire each task SOP in this manual — the trainer teaches every one and shows how the shop does it.
  6. Shadow the trainer — Have the new hire watch the experienced barber run real clients through booking, consultation, service, and checkout.
  7. Reverse shadow — Flip roles — the new hire runs the process while the trainer observes and corrects against the SOPs.
  8. Sign off before solo — The trainer signs each SOP off only when the new hire can do it your way unsupervised; no solo clients until every sign-off is complete.

Quality check before you finish

This is a free, source-anchored standard operating procedure (SOP) you can print and hand to staff. It documents the work sequence for a Barber Shop business — not safety or regulatory rulings, which defer to the cited authorities, the applicable code, and your own health-and-safety plan. Open the tool above to print it, toggle ink-saver, or (with a free ToolFluency Business account) edit it to match your own workflow.

About Free Barber Onboarding SOP & Sign-Off (Printable)

Free printable barber onboarding SOP: verify the license, set up the station, teach the manual’s SOPs, shadow, and sign off before solo.

How to use

  1. Read the full procedure top to bottom before the work — the SOP runs in order and each step builds on the last.
  2. Toggle Ink-saver (black & white) for a cheaper mono print for the binder; leave it off for the full-color version.
  3. Click Print SOP to print or save as PDF. Print one per crew, laminate it for the binder, or attach it to the job in your scheduling system.
  4. Train new hires on it and have staff sign off. Found something out of date? Use the feedback link — flagged SOPs are re-researched against the source list.

Frequently asked questions

When can a new barber take clients solo?
Only after the trainer has signed off every task SOP — the new hire shadows, then reverse-shadows, and works solo when they can run the full process your way unsupervised.
How do we verify a barber’s license?
Check the license is active and valid through your state barbering board, which issues verification; specific licensing requirements are set by the board, not the shop.
