Client Consultation & Intake: the full procedure
A structured greet, draping, and hair/scalp/beard assessment that aligns the client’s desired result with what is realistically achievable today.
- Applies to: Barber.
- Frequency: Every haircut, before any cutting begins.
- Scope: Covers intake, expectation-setting, and visual/tactile assessment. Any scalp condition, infestation, or skin abnormality discovered defers the service to a medical professional.
What you need
- Reference photos / lookbook
- Mirror
- Comb
- Cape / drape
- Neck strip
The procedure, step by step
- Greet & seat — Welcome the client by name, seat them squarely facing the mirror, and drape with a clean cape and fresh neck strip.
- Discuss the goal — Ask what they want, invite reference photos, and translate the image into specifics — length on top, sides, back, and overall direction.
- Assess hair & scalp — Examine texture, density, porosity, elasticity, and growth direction (grain); inspect the scalp for any condition that would prohibit service.
- Read head & face shape — Note head shape and facial proportions to choose lengths and techniques that create balance and suit the client.
- Confirm neckline & edges — Agree on neckline style (rounded, squared, tapered), sideburn length, and how tight the edges should be.
- Set expectations — State plainly what is achievable today versus what needs grow-out or multiple visits, and confirm before picking up a tool.
- Note preferences — Record part side, cowlicks, prior concerns, and any product or finish requests for consistency on return visits.
Quality check before you finish
- Client confirmed the agreed length verbally.
- Scalp checked and clear of conditions that prohibit service.
- Hair grain and growth patterns identified.
- Head/face shape factored into the plan.
- Neckline and sideburn style agreed in advance.
- Reference photo (if any) discussed for feasibility.
- Drape and fresh neck strip applied.

Frequently asked questions
Why consult before every cut, even for regulars?
Hair length, scalp condition, and goals change between visits — a 60-second check prevents miscommunication and keeps results consistent.
What if I spot a scalp problem during the assessment?
Stop and do not proceed — flaking, sores, lesions, or signs of infestation are medical matters and the client should see a professional before any service.
