Booking & Measure Intake: the full procedure
Capture every lead consistently and schedule the measure with all the information the crew needs to show up prepared.
- Applies to: Owner, Office/Scheduler
- Frequency: Per lead
- Scope: Standardizes how the business intakes leads, qualifies the job, and books the measure appointment so nothing falls through. No product specs involved.
What you need
- CRM or intake form
- Shared calendar
- Phone/email
- Service-area map
- Intake checklist
The procedure, step by step
- Capture the lead immediately — Log every inquiry - name, contact, address, and how they found you - the moment it comes in, before it is forgotten.
- Qualify the job — Record what flooring they want, rough square footage, rooms, timeline, and whether it is owner-occupied or rental/commercial.
- Confirm service area and fit — Verify the address is in your service area and the job fits what the business does; refer or decline politely if not.
- Set expectations — Explain the process - measure, written estimate, scheduling - and that the formal quote follows the on-site measure.
- Book the measure — Schedule the measure appointment in the shared calendar with a time window and assign who is going.
- Send confirmation — Send the customer a confirmation with date, window, and what to expect, plus contact info.
- Prep the field packet — Give the estimator the intake notes, address, and access details so they arrive informed.
- Set a reminder — Schedule a reminder/confirmation contact the day before to reduce no-shows.

Frequently asked questions
What should I capture before booking a flooring measure?
Capture the customer’s contact and address, the flooring type they want, rough square footage and rooms, their timeline, and how they found you. This lets you confirm the job is in your service area and fits your business before you spend a trip on the measure, and it gives the estimator context to arrive prepared.
Why standardize lead intake at all?
Inconsistent intake is where small flooring businesses lose jobs - leads get forgotten, double-booked, or arrive at a measure with no information. A standard intake step ensures every lead is logged, qualified, and confirmed the same way, which improves close rate and keeps the calendar clean.
