The procedure, step by step
- Scope the job accurately — Capture the full scope on site β equipment, accessibility, line sets, electrical, ductwork β so the estimate reflects reality, not a phone guess.
- Base pricing on the standard — Build pricing from the approved price book and current equipment costs so quotes are consistent across staff.
- Reference the design basis — For replacements, tie the proposal to the load/sizing inputs; the calculation is owned by a qualified designer, the proposal references it.
- Build clear options — Present good/better/best with efficiency ratings, warranty terms, and total price; include available rebates or Energy Star incentives.
- Add terms and validity — State what is and is not included, the deposit, payment terms, and the estimate expiration date.
- Deliver promptly — Send the written estimate the same day or within the shopβs target window while interest is high.
- Track and follow up — Log the estimate in the CRM and follow up on the standard cadence until it is won, lost, or expired.
