  2. Base pricing on the standard — Build pricing from the approved price book and current equipment costs so quotes are consistent across staff.
  3. Reference the design basis — For replacements, tie the proposal to the load/sizing inputs; the calculation is owned by a qualified designer, the proposal references it.
  4. Build clear options — Present good/better/best with efficiency ratings, warranty terms, and total price; include available rebates or Energy Star incentives.
  5. Add terms and validity — State what is and is not included, the deposit, payment terms, and the estimate expiration date.
  6. Deliver promptly — Send the written estimate the same day or within the shop’s target window while interest is high.
